Start with the event and the wearers

An office lunch, a retail promotion and a community party have different requirements. Write down who will wear the hats, where the event takes place and how long they are likely to be worn. Separate adults and children in the brief. Do not assume a single hat size will fit every guest simply because a supplier calls it a party hat.

Build a usable quantity list

Count staff, hosts, volunteers and guests separately. Decide whether hats are being handed to everyone or used by only the organising team. Keep spare quantities visible as their own line so the person approving the budget can understand the total. If hats will be delivered to several sites, include the split rather than expecting the receiving team to sort the order later.

Consider a summer celebration

South African year-end events may be held in warm outdoor settings. Ask for the actual hat construction and measurements so you can assess comfort for the occasion. A plush appearance in a lifestyle image does not confirm the material or weight of a sourced item. Discuss the intended use with the supplier and review a specific product image before approval.

Treat the date as a requirement to confirm

Give the event date and the latest useful delivery date. Those dates may differ if you need time to distribute hats or prepare gift packs. Ask for the achievable schedule in writing, including any artwork approval stage. A date entered on a quote form is a request, not a guarantee that production and transport have been booked.
